Location: Sydney – 10 Carrington Street, Level 19 Job Description We are seeking an enthusiastic Executive Assistant to join our Sydney‑based team on a full‑time, permanent basis. The role provides comprehensive executive assistance to the President of Brookfield Properties and other senior leaders. What you will be responsible for Upload and code invoices in Coupa accurately and in a timely manner Reconcile expenses (AMEX & Cash) in Concur Provide extensive executive assistance including diary management to the President Provide diary management and assistance to the Senior Vice President | Asset Management, Senior Vice President | Portfolio Management and Senior Vice President | Human Resources Organise meetings, video and teleconferences, workshops, conferences and events (internal and external), including venue, room, catering and AV requirements Organise domestic and international travel (including visas where applicable) for the President and team members when required Provide secretarial and administrative support to the team and other entities within Brookfield Properties at a consistently high and accurate standard Prepare PowerPoint presentations, reports, lease proposals and correspondence – ensuring all information is accurate, on brand and of a high standard Photocopying, printing and binding of documents for the team Coordinate and take minutes of meetings as required Arrange signatures for legal documents on behalf of the team liaise with the IT and HR teams to submit new starter requests, order IT equipment, report IT issues and ensure that workstations are set up correctly Provide new‑starter orientation in respect of office management, procedures and filing Provide new‑starter training on necessary business applications Answer, assist and attend to telephone queries directed to the President, Brookfield Properties and teams Distribute mail to the team Prepare and assist with new Corporate AMEX Card requests Assist with the preparation and coordination of various events within Brookfield Properties Renew various licences on behalf of the President Arrange yearly CPD qualification for the President Any other requirements as requested by the President, Brookfield Properties or the business from time to time Treat all customers (internal and external) with care and respect Liaise with all levels of staff and external clients Attend to requests in a timely, professional and friendly manner What experience and qualifications will you possess Three to five years of secretarial/team assistance experience in an office or corporate environment supporting management Extensive experience using PowerPoint, Microsoft Word, Microsoft Excel, Microsoft Outlook, Visio etc. What skills and qualities do you have Able to work in a high‑pressure, highly demanding, changing working environment Strong organisational skills Effective communication skills with all members of the team High attention to detail Positive attitude and a willingness to take on new tasks Willingness to learn and show initiative Friendly, outgoing and helpful attitude who can adapt to working with a variety of personalities within the team Ability to: Maintain confidentiality at all times Work independently (unsupervised) Prioritise tasks Adapt to change in arrangements Interact at all levels within the organisation and external contacts Show flexibility to assist in other areas should the occasion arise Why work for us Brookfield Properties manages over 900 properties and 330 million square feet of real estate worldwide.
