We have an exciting opportunity for an experienced Operations Administrator to join our team at Soil Mechanics Pty Ltd, based in Canning Vale, WA. In this full-time role, you will play a pivotal part in supporting drilling operations from initial mobilisation through to project completion. Your responsibilities will span coordinating personnel and equipment, managing compliance and onboarding, scheduling training, and ensuring operational processes run smoothly throughout the entire project lifecycle. This position is critical to delivering safe, efficient, and successful drilling campaigns. What You'll Be Doing Own the end-to-end project mobilisation process, including coordinating equipment, personnel, and documentation for site readiness. Manage onboarding for new employees, ensuring compliance with company and project-specific requirements. Coordinate travel and accommodation bookings for field crews and project teams. Schedule and track training programs, including internal compliance training and project-specific certifications. Work closely with the Operations Manager to develop and maintain project rosters, ensuring adequate coverage and alignment with operational needs. Draft and distribute weekly toolbox communications to support the Operations Manager and General Manager in promoting safety and operational updates. Assist with form updates and employee profile maintenance within Fastfield Forms, PeopleTray, and CorePlan systems. Take minutes during weekly operations meetings and distribute them promptly to relevant stakeholders. Assist the Office Manager with day-to-day tasks, including consumable replenishment (e.g., PPE orders) and general office supplies. Provide administrative support to the operations team, including handling inquiries, maintaining records, and preparing reports. Liaise with internal teams, subcontractors, and clients to ensure effective communication and timely delivery of project requirements. Contribute to continuous improvement initiatives for operational processes and systems. What We're Looking For Proven experience in an administrative or operations support role within the drilling, mining, or resources industry. A minimum of 1-2 years of administrative or operations support experience is required. Strong organisational skills with the ability to manage multiple priorities in a fast-paced environment. Excellent communication and interpersonal skills for engaging with field crews, contractors, and stakeholders. Proficiency in Microsoft Office Suite and familiarity with rostering or project management systems. High attention to detail and ability to work accurately under pressure. A proactive, solutions-focused approach and a strong team ethic. Previous experience in recruitment, HSEQ (Health, Safety, Environment & Quality), and training coordination would be highly favourable.
