Personal Assistant to CEO and Executive Team Overview The Personal Assistant provides high-quality, proactive administrative support to the CEO and executive team, ensuring the smooth and efficient operation of the executive office. This role requires exceptional organisational capability, strong judgement, and the ability to manage competing priorities with discretion and composure. The successful candidate will demonstrate professionalism, initiative, and a commitment to delivering work of a consistently high standard. Key Responsibilities Executive Support & Coordination Provide comprehensive administrative support to the CEO, acting as a trusted representative of the executive office. Manage complex and dynamic calendars, ensuring efficient scheduling and prioritisation. Coordinate and prepare high-level meetings, including agenda preparation, logistics, attendee communication, and timely follow‑up of action items. Transcribe correspondence, draft documents and communications, and ensure all matters are handled promptly and professionally. Respond to meeting requests and invitations in a timely and accurate manner. Maintain the highest level of confidentiality and exercise sound judgement in all interactions. Administration & Office Operations Organise domestic and international travel arrangements, including flights, accommodation, itineraries, transport, and any visa requirements (business and personal). Monitor and manage email inboxes, triaging and escalating matters as required. Maintain confidential files and executive records with accuracy and discretion. Handle general office administration including expense reporting, oversee personal finances of CEO, and coordination of office supplies. Support broader business operations and contribute to continuous improvement of executive workflows. Professional Standards Demonstrate meticulous attention to detail and consistently high accuracy in all communication and scheduling. Adapt quickly to shifting priorities and manage time effectively. Take ownership of tasks, demonstrating reliability, initiative, and follow‑through. Flexibility to work outside standard office hours on occasion to meet business needs. Demonstrate professionalism and effectiveness in all interactions, resulting in consistently positive stakeholder feedback. Consistently present with a high level of personal professionalism, demonstrating pride in appearance and representing the executive office with confidence and credibility. Technical and Practical Skills Minimum 10+ years’ experience in a senior administrative, Executive Assistant, or Personal Assistant role. Proven experience supporting a CEO or senior executive. Highly developed written and verbal communication skills, with the ability to engage professionally at all levels. Proficiency across Microsoft Office, Outlook, and Teams. Strong organisational capability, problem‑solving skills, and sound judgement. Ability to work in the Sydney CBD office 5 days a week or travel to other work locations when requested.
