You’re a highly organized Project Administration Assistant, driven by opportunities to learn and expand your skill set supporting diverse projects and smooth running of daily business operations. You might be working with a property development firm or any boutique firm and take pride in being the go-to person balancing front office duties with project administration and operational support. You might be working in the traditional administration or executive assistant space and looking for a role that services the broader business operations. The opportunity As a Project Administration Assistant, you will play a crucial role in delivering consistent, high-quality project administration. You will work across projects/teams and provide administrative support with drafting proposals, responding to enquiries and maintaining documentation. You will also coordinate office maintenance, catering and deliveries whilst providing a professional, welcoming front-of-house experience for everyone. You’ll be a natural when it comes to problem-solving with a strong eye for detail, multi-tasking and time management in a fast-paced environment. Your strong interpersonal skills, coupled with drive and initiative to work collaboratively and support the team, will help you thrive in the role. Key responsibilities Providing administrative support with projects and maintaining documentation. Providing professional front-of-house experience for visitors, clients, and staff. Assist with drafting/compiling project proposals, reports and client documentation. Managing project timelines and resolving operational queries. Maintaining company records, digital filing systems, templates and registers. Assist with event coordination and keeping our external events calendar up to date. Managing inboxes, diaries, internal communications and weekly team meeting agendas. Overseeing office supplies, maintenance and service providers. Updating our website and social media platforms. About you You will have: 5+years’ experience in project administration, business operations or an administration role. Exposure to Reception duties, managing calls, general correspondence and office maintenance. Experience with property development, or a related industry will be well regarded. Demonstrated Customer Service orientation, building trust through effective interpersonal and problem-solving skills. Excellent written and verbal communication skills, with a professional and confident demeanour. Ability to research, analyse and work with Council websites or other property related portals. Experience with Office 365, Adobe and any Document Management System will come in handy. Curious, self-driven with an ability to deliver consistent, high-quality support in a timely manner. Demonstrated ability to work collaboratively in a team environment and be a team player. Why Join Us?
