About the Role This is a rare opportunity for a motivated and proactive Project Coordinator & Administrator to join our growing team. Reporting to the Operations Manager, you will play a pivotal role in ensuring the smooth day-to-day operation and continued growth of the GreenChair™ model. You will coordinate and oversee GreenChair™ projects nationally, acting as a key interface between clients, charities and internal teams, while providing high-level administrative support to ensure projects are delivered efficiently and professionally. Key Responsibilities Coordinate GreenChair™ projects through audit, allocation, scheduling, collection and reporting Conduct on-site audits, including stocktaking, photography and logistics Enter and manage project data in the GreenChair™ system Create and circulate job listings, process requests and prepare allocation documentation Schedule collections, manage on-site activity and resolve logistical issues Liaise with clients and charity recipients Close out projects and prepare outcome reports for client ESG reporting Collect testimonials, imagery and good‑news stories from recipient organisations Supervise and coordinate team members and support staff on larger projects Maintain databases, manuals and records Assist with staff onboarding Provide administrative support to Bateup Consulting projects as needed What you’ll need to succeed To be considered for this role you’ll need the following skills and attributes: A genuine interest in sustainability and community impact Excellent organisational and time‑management skills with very strong attention to detail High‑level proficiency in Microsoft Office, particularly Excel Strong written and verbal communication skills, with confidence engaging stakeholders at all levels A professional, friendly and confident phone manner Ability to adapt communication style to suit diverse audiences Strategic and critical thinking skills with the ability to multitask in a fast‑paced environment Experience leading or coordinating teams and meeting deadlines Enjoyment of a varied role combining site visits and office‑based work Empathy, professionalism and a good sense of humour MS Forms, MS Excel VBA and MS Power Automate knowledge beneficial but not essential We ask that you Current WA driver’s licence and reliable vehicle Willingness to travel within the Perth metropolitan area; occasional interstate travel if needed What GreenChair™ can offer you Competitive remuneration based on experience and qualifications Flexible working arrangements that are real, not just promised Career development opportunities within a fast‑growing organisation Inclusive, supportive and values‑driven team culture West Leederville office location close to public transport, cafés and amenities How to Apply Join us in making a real difference.
