$32.03 – $33.30 per hour: 20 hours p/week ongoing About the role We are seeking an experienced and versatile Part-Time Administration Officer to join our team at Lalor Neighbourhood House Inc. in Lalor, Victoria. This role will provide crucial administrative support to ensure the smooth and efficient operation of our local community centre. You will actively assist in the day to day running of the Lalor Neighbourhood House in the reception area, in fostering an open, welcoming, friendly Centre environment conducive to Lifelong Learning and Community Connectedness. What you will be doing: Provide high quality reception customer service Provide support with student management system data input. Welcome current and/or new enquiries and provide relevant response – service or referral as required. Respond to reception, telephone and/ or email, course and programs enquiries. Keep reception area in a clean, tidy, workable and professional manner. In consultation with the Manager and Digital Marketing Officer, promote available programs and house activity information for consumers. Liaise with office staff, teachers, afterschool tutors, childcare personnel, volunteers. Collect fees from students and agencies. Invoice various agencies for their clients. Maintain up to date class lists, including waiting lists, enrolment data. Help promote classes with agencies and local networks. Support team in the production of our publications, i.e. brochures, flyers and other marketing materials. Ensure all student data input and update is accurate and on student management systems and updated and compliant as per relevant advice – primary from DET, ACFE and VETtrak (pre accredited monthly). Assist in the day-to-day financial management of the Centre including collection of fees from students and agencies. Assist in the integration of new payment and software systems in consultation and collaboration with the Manager and Finance Officer. Advise students in writing of their class for the following year/term. Produce end of year certificates. Assist with Childcare – Smart central, Enquiries, enrolments, bookings, CCS, weekly attendance, invoicing & direct debiting and training staff about usage of the software. Assist in updating the LNH website when needed. Provide organisational support to coordinate and maintain policies for LNH using relevant policy support services. Assist in coordinating regular fire and other safety drills. Provide support to continuously improve LNH systems and practices. We are seeking someone who has: Strong organisational and time management skills, with the ability to prioritise tasks and work effectively under pressure Excellent customer service skills, with a friendly and professional manner Excellent adaptability and responds well to change Proficiency in using common office software, such as Microsoft Office suite Preferable but not essential: A second language such as Arabic, Italian or Vietnamese Key Selection Criteria 1. Demonstrated experience in administration and reception duties within an educational, community, or office environment. Experience providing high-quality front-of-house customer service, managing reception systems, responding to enquiries, and maintaining a welcoming and professional environment. 2. Proven ability to accurately manage data entry and records management. Experience using data management systems (e.g., Social Planet, ACFE or similar databases), ensuring compliance, accuracy, and timely monthly uploads. Ability to maintain class lists, enrolment data, waiting lists, fee records, and invoicing documentation. 3. Strong communication and interpersonal skills. Ability to liaise effectively with a wide range of people including students, teachers, tutors, childcare staff, volunteers, agencies, and community members. Demonstrated ability to communicate clearly in person, over the phone, and via email. 4. High level of customer service skills with an ability to engage with diverse cultural and community groups. Demonstrated understanding of the needs of culturally and linguistically diverse communities, with empathy and sensitivity to clients with special needs. Sound local community knowledge and a second language is highly desirable. 5. Competence in financial administration. Ability to collect fees, process payments, issue invoices, and support the integration of new financial or software systems in collaboration with the Manager and Finance Officer. 6. Proficiency in office and digital systems, including marketing and communication tools. Experience supporting the production of brochures, flyers, website updates, and program promotions. Ability or willingness to learn the support of childcare-related administration including enrolments, Smart Central, CCS, attendance, invoicing, and system training for staff. 7. Strong organisational and time management skills. Ability to prioritise tasks, maintain a clean and functional reception area, coordinate safety drills, and support ongoing improvements to systems, policies, and administrative practices. 8. Ability to work effectively as part of a team. Willingness to collaborate with colleagues, follow direction, and contribute positively to a cohesive workplace culture. 9. Understanding of and commitment to Occupational Health & Safety and Equal Opportunity principles.
