About the Role Aboriginal and Torres Strait Islander people are strongly encouraged to apply for this opportunity (under section 51 of the Equal Opportunity Act 1984). Based in Albany WA, The Executive Assistant to the CEO will work primarily with the CEO and provide additional support to executive team members, as directed, to ensure that SAC’s goals and objectives are accomplished and that operations run efficiently. The Executive Assistant to the CEO will support our workplace vision and values and help to maintain our reputation for quality service delivery. The role will coordinate and manage the CEO scheduling and travel logistics, provide administrative and office support, organise team communications and support internal and off‑site events planning. The role will contribute to the effective management of the workforce by ensuring the CEO and senior management team are supported to focus on high level strategic planning through our cultural way of working. The ideal candidate will have exemplary time management skills and the ability to identify and anticipate the CEO’s needs. To perform this job successfully, the ability to handle highly sensitive and confidential information while exercising professionalism and discretion is necessary. About You Demonstrated ability to communicate effectively, respectfully and sensitively with Aboriginal people; Exceptional written and verbal communication skills; Strong time management skills and an ability to organise and coordinate multiple concurrent projects; Experience in the application of high‑level customer service principles and practices; Either, tertiary qualifications in business administration or equivalent with experience in high‑level office administration role/s or, attained through previous appointments, service and/or study, an equivalent level of expertise and experience to undertake a range of activities; Proven ability to assist in the administration of governance functions of an organisation; Proficient in the use of Microsoft Office programs and record management systems; Excellent problem‑solving skills; Demonstrated ability to work both independently and as an effective and positive team member, setting priorities and achieving deadlines with a high level of initiative and self‑motivation; and Previous experience in the not‑for‑profit sector. Desirably you will also have Governance related qualifications and/or workplace experience; An understanding of culturally informed approaches relating to Noongar people of the Great Southern and their culture; and An understanding of approaches aligning to holistic healing. Key Responsibilities CEO Support: Work directly with the CEO to support all aspects of their daily work routine; Manage professional and personal scheduling for the CEO, including agendas, mail, email, phone calls, client management and other organisational logistics; Coordinate complex scheduling and calendar management, as well as content and flow of information to the senior management team; Serve as liaison between the CEO, senior management team, staff and the public. This includes receiving and screening the CEO’s phone calls and visitors, answering a variety of questions with tact and diplomacy, taking messages and directing calls appropriately for resolution; Serve as the primary point of contact between the CEO and SAC program staff, including providing administrative support for meetings; Determine the priority of matters for attention for the CEO, redirect matters to staff to handle, or handle matters personally as appropriate; Keep the CEO advised of time sensitive and priority issues, ensuring appropriate follow up; Compose and prepare communications relating to routine correspondence for the CEO’s approval and signature; Schedule department meetings, assist in the preparation and distribution of meeting agendas and materials; Maintain paper and electronic filing systems; Maintain confidential and sensitive information; Attend meetings and prepare draft minutes and summaries; Complete a variety of special projects including creating PowerPoint presentations, spreadsheets, special reports and agenda material; Manage CEO and, as directed, senior management team travel logistics and activities, including accommodation, transportation and meals; Provide administrative and office support; Maintain professionalism and strict confidentiality with all materials; Organise team communications and plan events, both internal and off site; Manage sensitive and complex matters that may not always have established guidelines and procedures; Assist, as directed, media requirements of the organisation; and Other duties commensurate with skills and experience as directed by the CEO. Communication and Engagement: Provide concise, accurate and timely advice to the CEO in a variety of formats; Liaise effectively with internal staff; Act in accordance with SAC’s Customer Service Standards; Information and communications technology: Utilise information technology as appropriate in the performance of the role; Identify beneficial opportunities to automate processes, systems and tools; and Comply with and maintain all privacy legislation requirements when communicating information relating to the staff of SAC. Judgement and Decision Making: Manage sensitive and complex matters that may not always have established guidelines and procedures; Determine the priority of matters of attention for the CEO; and Manage time sensitive and priority issues to ensure appropriate follow up is completed on time and at a high level. Management Skills: Achieve work objectives in prescribed timeframes; and Be flexible in work methods and adapt to a changing environment. Interpersonal Skills: Strong ability to work and communicate with a wide variety of people and audiences including exceptional written and verbal communication skills; Strong ability to build and maintain effective relationships; and Strong ability to anticipate and respond to change and to lead others in change processes.
