• Selbständige Koordination, Organisation und Abwicklung von Fortbildungs- /Ausbildungsaktivitäten der medizinisch wissenschaftlichen Abteilung durch eigenverantwortliche Unterstützung des jeweiligen Project Owner (Medical Advisor/MSL, in Ausnahmefällen z.B. als Vertretung für andere Abteilungen: MPC übernimmt die Rolle des prozessualen Project Owner für SOP-regulierte Veranstaltungen anderer Abteilungen; die inhaltliche und formale Verantwortung bleibt bei der ausrichtenden Abteilung).


• Kompetente Beratung & Unterstützung interner/externer Kunden.

Aufgaben / Verantwortlichkeit

  1. Organisatorische und logistische Unterstützung des jeweiligen Project Owner (Briefing, gemeinsame Planung, Konzeption & Umsetzung mit dem PO, Unterstützung des Genehmigungsprozesses im CRM-Tool) in Bezug auf med./wiss. Veranstaltungen (u.a. internationale/nationale Kongresse, Medical Education Events wie Workshop, Symposium, Advisory Boards etc.) hinsichtlich der internen und externen Richtlinien und SOPs.
  2. Organisation regelmäßiger Update-Meetings mit dem PO hinsichtlich Informationen zum aktuellen Projektstatus, Timelines/Deadlines und Budgetübersicht für bearbeitende Medical Education Events.
  3. Primärer Ansprechpartner für interne (z.B. Sales, HEMAR, etc.) & externe (z. B. HCPs) Beteiligte bei obgenannten Events hinsichtlich organisatorischer Fragen und Anliegen.
  4. Koordination sowie schriftliche und mündliche Kommunikation mit internen und externen Kunden zur logistischen Abwicklung von Events.
  5. Advisory Board Management & Symposien (Organisation von Location, Catering, Reisebuchungen, Hotelbuchungen, Verträgen, Honorarnotenverwaltung, Zahlungsauslösung in HPR, Hochladen der Referentenverträge in ICD).
  6. Handling diverser Verträge.
  7. Aktive Teilnahme an Best Practice Sessions für Medical Project Coordinator zum regelmäßigen Austausch im Hinblick auf die Verbesserung der Prozesse, zur Sicherstellung von einheitlichen Arbeitsweisen und Backups.
  8. Einhaltung der Budgetvorgaben für die Medical Education Aktivitäten.
  9. Überwachung und Überblick der Deadlines in den Projekten.
  10. Kontaktpartner zu den Agenturen (z.B. Ashfield, AMEX, C2) zur Sicherstellung von technischem Equipment u/o organisatorischem Support vor Ort.
  11. Kostenüberwachung und Kontrolle der Endabrechnung.
  12. Abwicklung des Zahlungsprozesses an Lieferanten/Dienstleister (via eMP, HPR und manuelle Zahlungsauslösung für Referentenhonorare), Vendorneuanlage, Rückstellungen.
  13. Auslösen der Zahlungen an Lieferanten und Dienstleister.
  14. Durchführung der im Medical Education Bereich erforderlichen Trainings und jährliche Sicherstellung der Dokumentation.
  15. Einhaltung der lokalen gesetzlichen Anforderungen und der konzerninternen Weisungen.
  16. Sicherstellung sämtlicher notwendiger Dokumente und Weiterleitung ebendieser an HCBI-Abteilung zur Archivierung der Events.
  17. Debriefing externer und interner Kunden mittels definiertem Feedback Prozess.
  18. Laufende Prüfung des Qualitätsstandards und stetige Verbesserung der Veranstaltungsqualität.
  19. Bei Bedarf: Produktion medizinischer Fortbildungsmaterialien wie z.B. wissenschaftliche Programme, Flyer, Einladungsmail, etc.
  20. Teilnahme an firmeninternen Veranstaltungen.
  21. Bei Bedarf: Übernahme einer Super User Rolle oder Prozess Champion.
  22. Onboarding neuer Teammitglieder betreffend des Prozessablaufes von Medical Education Events und Unterstützung des therapeutischen TA – zu bedienende Systeme (Starcite, iConnect-Eingabe der Eventkosten, Sharepoint (Teilnehmerhandling), eMP (Hardwarebestellen für Onboarding, HPR, ICD).
  • Minimum 1 - 2 Jahre relevante Erfahrung in einer «Pharma» Umgebung.
  • Hohes Maß an Dienstleistungsorientierung.
  • Gute Kooperations- und Netzwerkfähigkeiten.
  • Hohe IT-Affinität für die Bedienung verschiedener Systeme.
