Organisational Assistant

Department of Sociology

The Department of Sociology, a subunit of the Faculty of Social Sciences, is hereby announcing a vacant position as organisational assistant for two professorships (Culture and Knowledge, and International Urban Sociology).

The position is first to be held with a one-year time limit. Afterwards, there is the possibility to extend the employment for an indefinite period of time via mutual agreement.

Duration of employment: 1 year/s

Extent of Employment: 40 hours/week

Job grading in accordance with collective bargaining agreement: -54 VwGr. IIIa with relevant work experience determining the assignment to a particular salary grade.

Support of research operations:

  • Support in organizing keynotes and presentations, conferences, symposia; Support of academic staff members in administrative issues
  • Support and supervision of the coordination in both international teams, correspondence (German/English), organization of meetings, travel planning and absence management

Third-party administration and project management:

  • Appointment and room coordination

Staff recruitment and management:

  • Staff management and support for international scholars (Research Fellows, Visiting PhDs)
  • Internal communication with university bodies regarding thirdparty and staff administration
  • Communication with external service providers, funding bodies and project partners
  • Representation activities within department's administration

Profile:

  • High School Leaving Certificate
  • Several years of relevant working experience in office
  • Experience with events and project management
  • Extensive IT proficiency (especially MS Office)
  • Wellversed in Online-Meeting Tools
  • Extensive English Proficiency, oral and written
  • Business Administration expertise is an asset
  • Excellent oral and written expression skills
  • High social competence and communication skills
  • Organizing and coordinating skills
  • Ability to work autonomously combined with a soft skills in team work
  • Flexibility, reliability, resilience
  • Willingness to participate in training programs
Knowledge of university organizations and processes and experience in university administration are an asset
