Human Resources Assistant

This position is located in the Planning, Contracting and Reporting Unit (PCRU), Staffing, Diversity and Outreach Section (SDOS), Human Resources Management Service (HRMS), Division for Management (DM), United Nations Office at Vienna (UNOV)/United Nations Office on Drugs and Crime (UNODC), in Vienna. The Human Resources Assistant will work under the overall guidance of the Deputy Chief of HRMS and Chief of SDOS and the direct supervision of the Chief of PCRU and the additional supervision of the Human Resources Officer in the Staffing Team/SDOS.
**Responsibilities**:
The incumbent will provide administrative support to the Staffing Team (ST)/SDOS as well as to the Organizational Design and Job Evaluation Team (OD&JE) in PCRU/SDOS. The focus of the work will be on the following two working areas: i) recruitment processes for staff in the Professional, National Officer and General Service categories both in Vienna and in field offices, and ii) job evaluation/classification and programme/project clearances. Within assigned authority, the incumbent will be responsible for the following specific duties:
Staffing Team related functions:
- Assist the Recruiters with administering written assessments using the UN Examinations and Test Systems (UNOETS).
- Assist with the administration of the Global General Services Test (GGST).
- Support the Staffing Team with outreach activities, including the use of social media platforms, webinars and other career support activities.
- Aid the Staffing Team to update templates and keep electronic data files current and up-to-date.
Organizational Design and Job Evaluation Team related functions:
- In coordination with the other team member, provide support and assistance in reviewing and processing requests for job classification for General Service and Professional positions by checking completeness, format and wording of the requests.
- Prepare routine correspondence and communication related to classification activities and initiate follow-up actions.
- Maintain classification registers as well as classification maintenance registers.
- Monitor HR Action requests and other correspondence on staff movements, filling of vacancies, changes in post funding, changes in functions of incumbents and update post/job data in the electronic databases and respective classification records in Sharepoint.
- Update organizational charts on a regular basis.
- Assist in reviewing UNODC project documents, project revisions, staffing tables and project related documents, etc.
- Provide general office support services within the Unit, and draft and/or process a variety of correspondence and other communications, if requested.
- Act as back-up for colleagues in the team.
- Perform other work-related duties as required.

Education
High school diploma or equivalent.
Job - Specific Qualification
Having passed the Administrative Support Assessment Test [in English] at the United Nations headquarters, Economic Commission for Africa, Economic and Social Commission for Western Asia, United Nations Office at Geneva, United Nations Office at Vienna, International criminal tribunal for Rwanda or International Criminal Tribunal for the former Yugoslavia may be accepted in lieu of the GGST.
Work Experience
A minimum of five years of progressively responsible experience in human resources management, administrative services or other related fields is required.
Work experience with an ERP system is required.
Work experience with SAP/Umoja and the UN talent management system (Inspira) is desirable.
Work experience with UN human resources policies, procedures and practices is desirable.
Work experience in human resources within the United Nations system or a similar international organization is desirable.
Languages
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required. Knowledge of another official United Nations language is an advantage.
