Key Executive Assistant Role for General Manager's Team

Job Role Overview

This key role supports the General Manager of AbbVie Austria and Affiliate Leadership team as needed, in all business and organizational activities. The successful candidate will be proactive in utilizing an understanding of the business context and conflicting priorities to ensure efficient and timely delivery of all tasks.

  • Scheduling and Diary Management
    • Schedule, organize and attend international and local leadership team meetings, coordinating agendas, documenting, and circulating action points.
    • Preparation and circulation of documents including agendas, presentations and organizational charts.

Key Responsibilities

  • Meeting Coordination and Support
    • Schedule meetings across multiple time zones and book meeting rooms as required.
    • Manage all incoming meeting invites and ensure any conflicting appointments are rescheduled.

Project Management and Travel Coordination

  • Organize, book and manage complex international travel requirements for the General Manager in accordance with company policy and systems.
  • Provide detailed travel itineraries and ensure all information is updated in the calendar.

Administrative Support

  • Preparation and submission of monthly expense reports.
  • Accurately maintain multiple email distribution lists across the business.

Key Qualifications

  • Excellent organizational, coordination and communication skills in German and English are a must.
  • Experience within the pharmaceutical sector is not essential, but desirable.
  • Strong interpersonal skills, with the ability to communicate effectively at all levels of the organization.
  • Ability to work under pressure in a rapidly changing environment and meet tight deadlines.
