Executive Assistant

**Location: Austria, Wien & Brunn/Gebirge**:
**The executive assistant reports directly to the CEO and plays a central role in helping the CEO and his executive leadership team (ELT) maintain a proactive posture in managing the complexity of external and internal engagements. This is a position of trust in which high degrees of personal maturity, professionalism, integrity, sensitivity, and diplomacy are prerequisites for success.**
**Your Responsibilities**:
- Maintain the corporate calendar: In collaboration with the ELT and external stakeholders, maintain a central, up-to-date IMS corporate planning calendar with a one-year horizon of key dates for, e.g., reporting deadlines, BoD meetings, industry summits, internal events.
- Prepare and execute effective meetings: Determine and set up meeting logistics notify participants of agenda, and, if needed, specific preparation required (e.g., briefings) to help executives achieve meeting objectives. Summarize the key outcomes, decisions, and follow-up actions required in internal meeting minutes.
- Manage CEO travel: Arrange and manage domestic and international travel plans, itineraries, and accommodations and file travel expenses.
- Plan and coordinate corporate events and visitor hosting: In collaboration with the IMS leadership team, HR, and IT, plan IMS corporate events (cross-site all-hands meetings, local celebrations, etc.) and coordinate their execution with external suppliers. Plan and prepare visits by customers and external stakeholders at IMS facilities.
- Assist with communications:
- Screen and prioritize incoming communications, Preparing or processing on behalf of the executive when appropriate.
**Your Qualifications**:
- Completed vocational training, preferably in business administration (e.g., HAK) or high school diploma with strong focus on languages / communications and information technology
- A minimum of 4 years professional experience as assistant to a general manager or chief executive, preferably in a technology company
- Proficiency in German and English; ability to communicate with native speakers with clarity and confidence
- Ability to listen openly and actively, and to “connect the dots”
- Team player skills: intercultural competency, emotional intelligence, and diplomacy to navigate through tense situations and resolve conflicts
- Comprehensive knowledge of MS-Office (Word, Excel, PowerPoint, Outlook), with strong motivation to learn new skills and find solutions to new problems
- Resourceful self-starter with a passion for well-organized work and for delivering results of high quality
- Ability to multitask (skilled at juggling various responsibilities)
- Time-management skills (expertise in deadline management)
- Ability to recognize sensitive information (even if not explicitly identified) and to protect it appropriately
