Enter, update, and maintain accurate client, trip, and payment data in company systems and Excel spreadsheets. Prepare, review, and send invoices for transport and care services promptly and accurately. Assist with bookkeeping tasks, including data reconciliation, expense tracking, and report preparation. Use Microsoft Excel to manage data, generate reports, and perform calculations (e.g., VLOOKUP, SUMIF, Pivot Tables). Manage incoming and outgoing phone calls —handle client enquiries, take transport bookings, and provide excellent customer service. Communicate effectively with clients, drivers, and team members to confirm bookings and resolve any issues. Cross-check and reconcile data between booking systems, driver logs, and invoices to ensure accuracy. Support the finance team with fortnightly tasks and general administrative duties. Maintain confidentiality and accuracy in handling sensitive client and financial information. Work efficiently under pressure and meet deadlines with a high level of accuracy. Requirements Strong proficiency in Microsoft Excel , including formulas, data management, and reporting. Excellent attention to detail and accuracy when handling financial and client data. Ability to work quickly and efficiently with large datasets. Strong organizational and communication skills. Self‑motivated, hardworking, and able to perform well under pressure. Experience using Xero or a similar accounting system is preferred. Minimum of 2 years’ experience in data entry, invoicing, or bookkeeping preferred. Previous experience in customer service, transport booking, or administrative support is highly regarded.
