Position Overview Lucid Minds Positive Behaviour Support seeks an Administration Officer responsible for overseeing the efficient functioning of the organisation’s administrative and operational systems to support high-quality service delivery. This role ensures that Lucid Minds PBS presents a professional, organised and positive brand experience for participants, families, referrers, partners and staff. The Administration Officer will lead the administration function, manage scheduling and workflow processes, maintain compliance and documentation systems, develop brand and communication materials, and foster strong relationships with referral partners and stakeholders. They will work closely with the Director and Clinical lead / Behaviour Support Practitioner to ensure operational continuity, organisational growth, and client satisfaction. Roles and Responsibilities Administration & Operations Management Manage day-to-day administrative workflows ensuring timely, accurate and efficient service delivery. Maintain participant files, documentation, policy records and organisational data in line with NDIS Quality and Safeguarding requirements. Oversee CRM management, record keeping, document control and file archiving. Coordinate diaries and appointment scheduling for the Director and practitioners. Prepare correspondence, professional documentation and reports as required. Process invoices, track accounts receivable and payable, and monitor participant funding utilisation. Brand & Communications Development Support development and consistency of organisational brand identity across documents, communication, website and digital platforms. Design and maintain branded templates, promotional materials, business documents and public-facing resources. Assist in the development and upkeep of social media and online presence to strengthen visibility and community engagement. Act as a key contact for support coordinators, providers, referrers and community partners. Respond professionally and promptly to service enquiries, referral requests and stakeholder contact. Support onboarding processes for new participants and providers to ensure a smooth and positive experience. Maintain and nurture strong professional relationships that support referral pathways and participant outcomes. Compliance & Quality Assurance Ensure administrative processes align with the NDIS Code of Conduct, relevant legislation, and organisational policies. Manage and assist with audit preparation, continuous improvement planning, and compliance monitoring. Track key governance documents, service agreements, expiry dates, risk records and training compliance. HR and Workforce Support Assist in recruitment processes, including advertising, shortlisting, interviewing and onboarding. Coordinate induction and orientation for new staff. Maintain employee records, training logs and compliance documentation. Promote positive workplace culture aligned with organisation values. Skills and Expertise NDIS Worker Screening Check (or willingness to obtain). Current Driver’s License. Certificate or Diploma in Business Administration, Community Services, or similar (desirable). Demonstrated experience in administration, office coordination or business support roles. Experience in NDIS, disability, allied health or community services (highly regarded). Experience liaising with clients, referrers, or stakeholder groups.Proficiency in office software applications (e.g., Microsoft Office Suite, Google Workspace). Strong communication skills, both written and verbal. Exceptional organisational and time management abilities. Attention to detail and a high level of accuracy in tasks. Ability to prioritise and handle multiple tasks simultaneously. Discretion in handling confidential information. Positive and professional attitude with excellent interpersonal skills. An understanding of the NDIS or willingness to learn and understand the NDIS Operational Guidelines, the Disability Services Act 2006, the Positive Behaviour Support Capability Framework and the National Disability Insurance Scheme (Restrictive Practices and Behaviour Support) Rules 2018. Promote quality through consistent good practice: set clear expectations of what best practice looks like, provide access to support and coaching, and develop worker awareness and capabilities to deliver quality support and services. Support health and manage risk: implement policies, procedures and systems for effective health and risk management so that workers know their roles and responsibilities, look out for their own safety, and balance the dignity of risk with the duty of care when supporting participants. Foster and develop a capable workforce: support workers to understand capability expectations at different levels, provide constructive feedback, and create informal and formal opportunities for them to develop their capabilities and build a career.
