Receptionist/Administration Assistant

Sessions Legal are a commercial law firm based in the Newcastle CBD working in property and commercial transactions, litigation and estate planning. The firm has a strong team atmosphere and a commitment to work life balance and a collaborative approach to meeting client needs. As the first point of contact for our clients and incoming phone calls our Receptionist is an important representative of the organisation. You must be well presented, courteous, enthusiastic and professional with exceptional communication skills. Your primary role is to ensure the smooth running of front of house, directing incoming calls and clients, and assisting in general firm administration duties including, file opening, archiving, conveyancing administration and client verification of identity. RESPONSIBILITIES RECEPTION Answer incoming calls positively, and warmly; accurately directs caller to the appropriate people courteously and professionally; answers client’s inquiries, as needed. Greet incoming clients and visitors in a friendly and positive way. Open, sort, & save mail. Incoming & outgoing parcels and courier management. Photocopying, scanning and filing. Arrange appointments as requested. Oversee all company archiving; order collection, retrieval and destruction of archived files. Clean and tidy kitchen and general office. Assist and organise events and meetings. Set up and maintenance of meeting/boardroom rooms ensuring the rooms are tidy before and after meetings. Stock control - ordering stationery, kitchen and office supplies. LEGAL Open and close files, copy and scan any original documents for physical and electronic files. Process client verification of identity, both electronic and hard copy. Create and or amend cost documents as and when requested. Create new correspondence file. Archiving. PROFESSIONAL STANDARDS To work and behave in a professional manner. Comply with firm procedures and relevant professional standards. Carry out duties given by the partners or employees faithfully and diligently and follow all reasonable instructions. To participate in the growth and development of the firm. Treat all information about the firm and its client and their business as wholly confidential. REQUIREMENTS Prior experience with receptionist responsibilities; experience in customer service or related field (highly regarded). Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel). Experience with Leap legal software (highly regarded but not essential). Highly organised multitasker who works well in a fast-paced environment. Excellent time management, written and verbal communication skills. Willingness to learn and to grow with the company.
