The Opportunity We are seeking a highly professional and proactive Executive Assistant with a minimum of 5‑10 years’ experience to support four of our C‑Suite Executive team members. This is a trusted role at the heart of IMDEX’s leadership, offering exposure to strategic decision‑making, Board‑level engagement, and global stakeholder interaction. The successful candidate will be a self‑starter with outstanding communication skills and respect for confidentiality. You will enjoy a varied role managing complex schedules, coordinating high‑level meetings and events, and delivering seamless executive support. This role requires exceptional organisational skills, discretion, and the ability to anticipate needs in a fast‑paced, dynamic environment. Key Responsibilities Provide high‑level administrative support to the C‑Suite Executive team. Manage complex diaries with global time zones and coordinate meetings. Significant experience with domestic and international travel logistics for executives. Prepare, collate and distribute complex documents, presentation material, steering committee documents, agendas and monthly reporting packs for the executive team. Develop productive working relationships with internal and external stakeholders. Assist in planning and delivery of corporate functions, conference attendance and workshops. Maintain confidentiality and manage sensitive information securely. What You’ll Bring Minimum 5‑10 years Executive Assistant experience supporting multiple C‑Suite executives. Expertise in global travel logistics and complex diary management with multiple time zones. Advanced Microsoft Office skills (Word, Excel, PowerPoint, Teams). Strong communication, writing, and reporting skills. Excellent planning, organisation, and time management. Ability to work independently. Experience in a global or ASX‑listed organisation.
