Office Manager – MSP (Dental/Healthcare IT) Urban IT is a Melbourne-based Managed Service Provider (MSP)—which is a fancy way of saying we handle the IT systems, software, and support for hundreds of dental and healthcare practices across Australia. We're the behind-the-scenes tech team that helps clinics run smoothly so they can focus on patients, not problems. We’re looking for an Office Manager to become the operational heartbeat of our Truganina HQ - someone organised, upbeat, and naturally helpful. You’ll be the go-to person for everything from supplier calls and freight logistics to managing the Director’s calendar and uplifting the team’s mood. You’ll work closely with our Service Delivery Manager and Bookkeeper to keep our people, gear, and schedules on point. We’re a small team, so every role counts. We need someone we can rely on—someone who brings structure, clarity, and positivity to the workplace and thrives on being the one who “just gets things done.” What you’ll be doing: First point of contact for inbound calls, deliveries, visitors, and suppliers Scheduling on-site jobs with clients in collaboration with the tech team Managing the Director’s calendar—booking meetings, rescheduling, and gatekeeping access Handling freight and logistics, ensuring timely delivery and dispatch of tech gear Liaising with suppliers for orders, quotes, and follow-ups Keeping the office stocked, tidy, and functioning—everything from printer ink to Friday snacks Supporting the Bookkeeper with basic finance admin (receipts, petty cash, etc.) Onboarding new staff and making them feel part of the team Keeping spirits high—whether it’s organising birthdays or just lifting the vibe What we’re looking for: 2–5 years in an office admin, coordinator, or support role Clear communicator who can deal with customers, suppliers, and internal teams Exceptionally reliable—your presence will be felt, and missed, if you’re not there Organised and calm under pressure—you thrive on a good to-do list Positive energy that brightens the room and lifts the team Attention to detail is second nature—you spot typos and double-bookings in your sleep Tech confident (MS 365 is a must, ConnectWise PSA is a bonus) Works autonomously and isn’t afraid to take initiative Why Urban IT?
