Administration Assistant - Family Accounts Methodist Ladies’ College, Melbourne (Kew, Melbourne) – Part-Time About The Role We are seeking a professional and customer-focused Administrative Assistant – Family Accounts to join our Corporate Services team. This role supports the day-to-day operations of the Family Accounts Department, providing high-level administrative, financial processing, and customer service to families and internal stakeholders. Key Responsibilities Family Accounts Administration Process daily receipting and ad hoc payments, including BPay, direct debit, and credit card entries. Assist families with fee-related enquiries, concessions, and payment plan paperwork. Support the billing process, ensuring accurate and timely charges, credits, statements, and reminders. Liaise with families regarding outstanding accounts and assist with debt recovery follow-up (phone, email, mail, meetings). Negotiate payment arrangements and provide recommendations to management. Prepare weekly debtor reports and investigate unresolved account queries. Draft correspondence relating to delinquent accounts on behalf of senior staff. Student & Family Records Management Maintain accurate student medical, contact, and family data for current and past students. Record online applications and parent portal updates. Resolve undeliverable fee statement emails. Manage separated family arrangements in College systems. Respond to record-related enquiries in collaboration with Admissions and School Offices. Coordinate medical information with the Health Centre team. Teamwork & College Support Collaborate positively within the Family Accounts team and across the College. Provide relief support to Main Reception and assist with visitors, mail, deliveries, and courier needs. Contribute to small projects and continuous improvement initiatives. About You Essential Minimum 5 years’ experience in Accounts Receivable or a similar financial administration role. Relevant qualifications or equivalent experience. Strong communication and interpersonal skills with a warm, service‑oriented approach. Excellent organisational and time management abilities. High level of professionalism, confidentiality, and accuracy. Ability to work independently and collaboratively in a busy environment. Proficiency in digital tools, databases, and administrative systems. Current Working With Children Check (Employee). Right to work in Australia.
