Clinic Administrator – Inner You Development (Upper Mount Gravatt Clinic) Upper Mount Gravatt, Brisbane Full-Time Position Competitive Salary (aligned with experience and industry standards) Clinic Opening: January–March 2026 About Inner You Development Inner You Development Pty Ltd is a trauma-informed, neuro-affirming, client-centred mental health and allied health practice providing therapeutic services to children, adolescents, adults, couples, and families. As we expand into our brand-new, custom-designed clinic in Upper Mount Gravatt, we are seeking a Clinic Administrator to support the daily operations of a warm, modern, multidisciplinary practice. Our new clinic features: Four fully furnished consulting rooms A group/classroom space A conference & supervision room A welcoming reception area Undercover parking Excellent access to public transport and major roads Position Summary We are seeking an organised, compassionate, and proactive Clinic Administrator who will be the welcoming face of our practice and a key support person for both clients and clinicians. This role is ideal for someone with strong customer service skills, excellent organisation, and a genuine interest in supporting mental health and allied health environments. Key Responsibilities Client & Reception Support Provide warm, trauma-informed reception and front-of-house service Manage phone, email, and in-person client enquiries Coordinate bookings, waitlists, cancellations, and reminders Maintain a welcoming, calm reception and waiting area Administration & Clinic Operations Manage client intake forms, consent, and documentation Process payments, invoices, MBS claims, NDIS billing & third-party invoicing Maintain accurate client records and daily reporting Support the scheduling and onboarding of clinicians Assist with maintaining policies, registers, files, and workflows Clinician & Practice Support Assist clinicians with administrative tasks Liaise with GPs, NDIS providers, referrers, and external stakeholders Help coordinate group programs, workshops, and events Maintain confidentiality and ensure ethical record-keeping Practice Growth & Team Culture Assist with social media scheduling, marketing tasks & clinic communication Help organise team events, supervision sessions, and wellbeing activities Contribute to a supportive, professional, and connected team environment Skills & Experience Essential Experience in allied health, medical, NDIS, or administrative roles Warm, professional communication style Strong organisational and multitasking abilities Confidence using practice management software (Halaxy, Cliniko, etc.) Ability to maintain boundaries and confidentiality Trauma-informed and neuro-affirming communication style Intermediate–advanced computer literacy Desirable Familiarity with MBS billing, NDIS claims, and EAP processes Experience in mental health, psychology, counselling, or disability services Interest in long‑term growth within a developing clinic What We Offer A Supportive Workplace Brand‑new, modern, purpose‑built clinic Clear systems, templates, and processes Full training and onboarding Collaborative and trauma‑informed team culture Workplace Wellbeing Quarterly wellbeing activities Support with supervision‑based learning A respectful, growth‑oriented environment Apply or Express Interest We’d love to hear from you if you want to be part of a growing, meaningful, community‑focused clinic.
