- Responsibilities
- Within delegated authority, the incumbent will be responsible for the following specific duties: - Oversee and coordinate the planning of meeting and documentation services in CMS in line with overall DGACM policies and strategies: o Analyse and assess the conference-servicing needs of the Vienna-based UN bodies and client organizations, and recommend actions to bring about the optimum cost-effective utilization of staff and other resources in both documentation and meetings; provide policy guidance, capacity planning and coordinate related activities. o Ensure that programmed activities are carried out in a timely fashion and coordinate work undertaken with the different areas within the Division for Management at UNOV, the Department of General Assembly and Conference Management, as well as other organizations of the United Nations System, as appropriate, especially those organizations serviced by CMS. - Lead the implementation of the substantive work programme of PCMS and coordinate the activities carried out by the different work units: o Provide guidance and overall supervision to the Document Management Unit in its planning and monitoring of the processing of documentation and publications in accordance with the requirements of meetings and clients, ensuring compliance with the instructions and guidelines on control and limitation of documentation. o Provide guidance and overall supervision to the Meetings Management Unit in its development and coordination of the calendar of conferences and meetings in accordance with entitlements and mandates, and with the planning and servicing of meetings held in Vienna and at other locations. - Ensure that all outputs produced by the Section meet high quality standards and comply with the relevant mandates. Ensure that reports are clear, objective and based on comprehensive data. - Undertake and oversee the programmatic/administrative tasks necessary for the functioning of the Section, including budget preparation, reporting on budget/programme performance, management of staff performance (ePerformance) and delegated recruitment processes. When recruiting staff, take due account of geographical and gender balance. - Lead team members’ efforts to collect and analyze data and provide insight to identify trends or patterns for data-driven planning, decision-making, presentation and reporting. Ensure that everyone can discover, access, integrate and share the data they need. - Manage, guide, develop and train staff under her/his supervision. Foster teamwork and communication among staff in the Section and across organizational boundaries. - Lead and supervise the organization of meetings, seminars, etc. on substantive issues in relation with the work programme of the Section and take charge of relevant preparation work. - Coordinate and oversee the preparation of inputs for reports to intergovernmental bodies, such as the Advisory Committee on Administrative and Budgetary Questions (ACABQ), Committee on Conferences (CoC), and other policymaking organs, as appropriate, on programme performance and on programmatic/substantive issues for the Chief’s review. - Assist the Chief in preparing the work programme of the Service, determining priorities, and allocating resources for the completion of outputs and their timely delivery. - Perform other work-related duties, as required.

- An advanced university degree (Master’s degree or equivalent) in public or business administration, international relations, management or a related field, is required. A first-level university degree in similar fields in combination with two additional years of qualifying experience may be accepted in lieu of the advanced university degree.

- A minimum of ten (10) years of progressively responsible working experience at the international level in conference management, administration, budget, financial management, programme and project management or related field is required. Of the ten (10) years of experience, at least two (2) years of direct experience with the provision of conference services in a multilateral environment is required. Of the ten (10) years of experience, at least four (4) years of significant managerial experience is desirable. Of the ten (10) years of experience, at least two (2) years of work experience in an international organization is desirable. Experience in data analytics or related area is desirable.
- Languages
- English or French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required. Knowledge of German is desirable. Knowledge of another United Nations official language is an advantage.
