Role Overview: The Facilities Coordinator is responsible for coordinating the day-to-day facilities operations at Local Box Hill. The role is full time site based and involves coordinating trades, cleaning and maintenance staff and overseeing site health and safety activities. The role will entail working in unison with other Local team members, coordinating tenant maintenance and apartment turnarounds, overseeing builder defect works and holding site responsibility for contractor inductions, work permit and safety documentation review. The Facilities Coordinator will also assist the on-site Maintenance Officer with general maintenance duties and Operations Team during peak periods. Approximately 50% of the duties of this role will involve “hands on” general maintenance tasks, apartment and site inspections. To succeed in this role the candidate will possess a keen attention to detail, a friendly demeanour, and top quality organisational and communication skills. Key Responsibilities: Facilities Management Lead the day-to-day delivery of facility services across the Local Box Hill site. Deliver excellent customer service to internal and external stakeholders, including residents and the Local operations team. Work closely with the Leasing and Loading Dock Managers to monitor the site resident move-in and move-out pipeline, to ensure that apartments are defect free, presentable and ready to occupy when required. Greet and induct contractors to site via the LinkSafe system. Identify high-risk work activities and elevate safety matters to site Facilities and Operations Managers as required. Ensure that all resident maintenance requests from residents are attended to in a prompt and courteous manner with a focus on completing work in-house, when appropriate to do so. Coordinate builder’s access to the site to closeout defects and liaise between our residents and trades to address apartment defect issues. Perform general “non-technical” maintenance tasks, such as basic carpentry, patching, painting and light globe changes. Manage waste on site and coordinate collection alongside the Loading Dock Manager. Assist the Senior Facilities Manager in collating data for monthly reporting on the performance of the Annual Works Plan. In liaison with the Senior Facilities Manager, ensure that any on-site hard and soft service planned preventative maintenance programs are carried out effectively and to the required standard. Take responsibility for site soft service delivery. Review service reports, ensure that all facility records are kept up to date, and make recommendations for service delivery areas for improvement to the Senior Facilities Manager. Make recommendations to the Operations Teams for bond claims and tenant charges. Establish and maintain strong relationships with building stakeholders, including management, the Shared Services committee, operations staff, cleaners and maintenance staff. Utilise Local’s Computerised Maintenance Management System (CMMS) to triage works requests, issue work orders, maintain assets and manage workloads. Help prioritise tasks and set workloads for in-house Maintenance Officer staff. Provide relief coverage for Maintenance Officers during staff absences and busy times. Be available for an on-call roster for emergency reactive maintenance matters and occasional weekend work. Comply with the Residential Tenancy Act in regards to maintenance response times, rights of entry and tenant communications. Promote and contribute to a highly collaborative and inclusive team. Act ethically and responsibly with all contractors, consultants, and suppliers. Safety Align with Local’s Safety Management System and promote a safety-first culture within the organisation. Support the team in ensuring that our operational sites comply with relevant safety regulations, including WorkSafe Victoria and Safe Work Australia requirements. Participate in regular workplace safety inspections to identify potential hazards. Assist with reporting and documenting safety incidents, near-misses, and accidents, and help follow up on corrective actions as directed. Assist in the implementation and maintenance of workplace safety policies and procedures. Help in preparing safety manuals, risk assessments, and safe work instructions for various tasks across the organisation. Help organise and schedule safety inductions and training sessions for new employees, contractors, and visitors. Track training attendance and maintain records of completed safety courses. Review contractor safety documentation such as safe work method statements (SWMS), JSAs, review and issue Work Permits for high-risk activities. Participate in the implementation of the Local Emergency Management Plan and participate as a member of the Emergency Control Organisation. Who We're Looking For: Minimum 2 years’ experience in a facilities, operations or maintenance role within a corporate setting. Experience with sound safety practices in a mixed use commercial property environment. Trade, maintenance or construction experience in performing a broad range of non-technical maintenance duties. Experience using a wide range of power tools and maintenance equipment in a safe manner. Workplace Health and Safety knowledge. The ability to effectively communicate and work with a broad range of stakeholders, from senior management through to tenants, trades, cleaners and the general public.
