We are looking for an Office/Administrative Assistant (m/w/d) to perform a variety of administrative and clerical tasks. Please note this is a junior level role.

Job responsibilities:

- General accounts receivable and accounts payable (eg, receipt matching and invoice uploads)
- Manage the monthly reconciliation & payroll report (eg hunt down missing receipts)
- Liase with external accountants
- Maintain proper filing system, digital and physical
- Make sure the office is well-stocked with supplies and sort the incoming mail and packages
- Inventory of supplies (coffee/bathroom/cleaning) and equipment
- Water plants and tidy as needed
- Monitor office systems & repairs as needed
- Manage locks/access to office, including generating new passes for new employees
- Administrative help as needed for the People Operations team
- Assist with the organization of team lunches, dinners and other events
- Support with personal data administration (e.g., creation of personnel files, data maintenance, etc. within the HR tool).

**Your profile**:
As an all-rounder: when it comes to communication, you exchange ideas with colleagues from a wide variety of departments. You are good at dealing with many tasks at the same time and prioritizing them correctly. You have a pronounced affinity for numbers, quick comprehension, operational readiness and out-of-the box thinking. You enjoy identifying and designing accounting processes and are happy to look for optimization options. Your start date would be January or February 2024.

Hard requirements:

- English B1 minimum (company language is English)
- German B1 minimum (communication with external accountants)
- Willingness to learn new things
- Strong communication skills
- You are used to taking responsibility and doing things independently
- You can deal with quickly understanding processes and appropriating a meaningful workflow
- Attention to detail
- Located in Vienna or willingness to relocate
- Ability to work from our 10th district office at minimum 3 days a week

Following the guidelines of the Austrian collective bargaining agreement for IT (AT, Entry Level), we offer a minumum monthly gross salary of €2,223-. Depending on your experience and credentials we are willing to overpay and our expected range is €2300-€2600. This position is open to part-time employment (30 hours and above) as well.
