HVG Facades, a part of the HVG group of companies, distribute innovative cladding products throughout Australia that enhance and transform building facades. Our industry leading brands are used widely in the architectural and corporate identity markets with a strong focus on commercial construction and recladding. As our Project Coordinator, you’ll be the go‑to person supporting the Victorian Facades Sales team across VIC, SA, and TAS. Your work will keep our project pipeline moving — researching opportunities, qualifying leads, coordinating details, and making sure the team has accurate information from design and specification through to construction. If you’re proactive, organised, and confident working across multiple priorities, this role offers the chance to make a meaningful impact on our results while working closely with a passionate, high‑performing team. Key Responsibilities Project Research & Qualification Conduct daily research across project portals (including Hubexo/BCI) to identify and populate new façade product opportunities. Research, follow up, and qualify all opportunities before distributing them to the Sales team. Monitor competitor products, projects, and activity and flag relevant intelligence with the Sales team. Engage with builders and contractors to confirm current projects and share critical updates with the team. Promptly notify the Architectural Specification Manager of all new opportunities at the design/specification stage. Project Coordination & Tracking Own the administration and maintenance of accurate project lists and information across VIC, SA, and TAS. Track and record project status across all stages — design, specification, tender, and construction. Actively follow projects as they progress through each stage to ensure nothing falls through the cracks. Confirm site contacts for awarded projects by liaising with builder offices. Report on project status and updates in regular project team meetings. Sales Support & Internal Liaison Support the Victorian Sales team in achieving revenue and margin targets across the full materials portfolio. Follow up on all Sales enquiries and record status and feedback clearly and accurately. Assist with organising and delivering samples to builders and contractors. Suggest and assist with contractor recommendations when required. Maintain consistent communication across all team members to keep everyone aligned. Follow up with contractors to confirm they are pricing leads and with builders to ensure pricing has been received. Data Management & Administration Maintain all relevant project information in the CRM and support the Sales team with updates as needed. Ensure CRM data is always current, complete, and accurate to support reporting and pipeline visibility. About You Technical & Industry Proficiency Proven experience researching construction projects and using industry tools such as Hubexo/BCI and E1. Strong Microsoft Office skills, especially Excel, Word, and Outlook. Hands‑on experience using a CRM system for data management and reporting. Completion of Year 10 studies. Experience Minimum 3+ years’ experience in a similar role focused on project coordination, Sales support, or internal Sales. Background in customer service or internal Sales coordination is highly regarded. Core Skills Highly organised with exceptional attention to detail. Strong written and verbal communication skills, with confidence engaging with builders and contractors. Ability to manage competing priorities and work efficiently across multiple tasks. Able to build effective internal and external relationships. Behavioural Qualities Proactive self‑starter with a strong drive to deliver results. Solution‑focused and customer‑centric mindset. Reliable, trustworthy, flexible, and adaptable team player. Takes ownership and responsibility for outcomes. Expected Outcomes Build and maintain an accurate, up‑to‑date Sales pipeline that supports reliable forecasting. Contribute directly to achieving monthly Revenue and Gross Profit targets for the Victorian Sales team. Our Values Customers at our core Acting for HVG Working as one team Growing through strong partnerships Safety as non‑negotiable If this role sounds like the perfect next step for you, we’d love to hear from you.
